Job Description:               Development Manager

Status:                               Full-Time/Exempt

Reports To:                       Director of Development

Position Summary

The Development Manager will focus on donor analytics, net revenue improvement and average gift size of renewing donors, the primary function of this position is to assist the Director of Development in the acquisition, cultivation and stewardship of donors, and database tracking of donors.

Primary Responsibilities

Annual Giving Coordination and Strategy

  • Work with senior staff, contractors and consultants to develop and implement the organization’s overall annual giving strategy
  • Assist in the creation of cultivation and solicitation programs involving and including email, mail, phone, tours and events, all focused on shaping a sustainable tradition of annual giving to support the mission of The Julian Center. This may include strategizing appeals and handling mass emails
  • Assist in the establishment of annual fiscal year calendar and strategy for annual giving appeals, including event sponsorships, new individual contributions, and renewals.
  • Manage the tracking of donor gifts within the Julian Center database, pulling reconciliation reports for the development and finance departments, tracking financial goals, and inputting donation transaction data on a daily basis
    • Gift processing: manage the acknowledgement and recording of all gifts, creating acknowledgement letters and required tax receipts and filing necessary support documentation
    • Support the Director of Development in the tracking and acquisition of Board contributions.
  • Proofread, and coordinate delivery of highly personalized introduction letters, follow up correspondence, acknowledgement letters, gift receipts and stewardship-and recognition-related communications and reports
  • Manage matching gift protocols and processes and assist donors in obtaining matching gifts from their company
  • Primary contact for recurring monthly gift donors
  • In coordination with Director of Development, prepare weekly, monthly, quarterly reports on all giving activity
  • Provide data for the direct mail program and conduct analysis later
  • Work with other development staff, contractors and consultants to ensure a coordinated fundraising approach without overlap
  • Assist with stewardship and cultivation of fundraising events related to the development plan. Monitors the check-in list and handles the database updates
  • Handles the donor calls and responds accordingly

Relationship Management and Support for Major Gifts

  • Identify new prospects and update prospect list; track information for Director of Development and President/CEO regarding major gifts for increased donor engagement
  • With Director of Development, participate in all aspects of the gift cycle:
    • Identify donor prospects utilizing The Raiser’s Edge analytics
    • Qualify donors into appropriate rating system
    • Develop appropriate cultivation strategies in collaboration with the Director of Development and President/CEO
    • Maintain stewardship contacts with donors; while adhering to the highest ethical standards; demonstrate empathetic disposition and perseverance; reflect optimistic and positive attitude, and convey sensitivity to needs of the donors
    • Assist with ensuring timely renewal and engagement of donors
  • Proofread letters as required in conjunction with the Director of Development
  • Execute major gift materials, including briefing memos, proposals and stewardship materials
  • Initiate correspondence and thank you letters and phone calls as required

Administrative Support

  • Serve as administrator for development department. Responsibilities include assessing and responding to incoming external requests, partnership requests, and possible donor opportunities.
  • Maintain letter library templates for standard acknowledgement letters and work with Director of Development to refresh/update periodically throughout the year
  • Maintain, modify, and ensure the accuracy of donor database, including: daily recording of cash and in-kind gift receipts into The Raiser’s Edge database, extracting mailing lists and keeping informational prospect summaries up-to-date; updating records to reflect proper coding protocols for easier, consistent, accurate reporting; create, maintain coding protocols
  • Produce regular summaries of year-to-date development activity, including financial reports and fundraising progress reports; create reporting mechanisms as needed
  • In conjunction with Director of Development, maintain departmental files and filing system, in both digital and hard copy format and perform administrative tasks, including proposal and report archiving, mailing preparation, etc.
  • Work with Development staff to manage special projects related to donors, partners or prospects as needed


  • In coordination with Director of Development, plan and produce fundraising events; including marketing, planning and coordinating all aspects of event logistics and details
  • Work with the Director of Development regarding the sponsorship coordination for all fundraising events, including solicitation, tracking and collection of invoices
  • Collaborate with the Manager of Volunteer Services in order to implement volunteer support services for special events
  • Collaborate with the Marketing and Communications Manager as required for event management
  • Prepare and monitor budgets for events
  • Greet and cultivate donors at sponsored events.


  • Outstanding written, telephone, email and presentation skills to persuasively convey the mission of The Julian Center to diverse external constituencies
  • Ability to function independently in a fast-paced, high volume, multi-faceted, results-oriented work environment
  • Team player who works well in collaborative situations

Required Qualifications

  • Bachelor’s degree in one of the following disciplines: philanthropy, marketing, business administration, management, advertising, journalism, communications or related field
  • 1-3 years experience
  • Proven fundraising experience
  • Advanced User in MS Office Suite, including: Excel, Word, Outlook, Power Point, Access or other relational databases such as The Raiser’s Edge
  • Ability to work flexible hours

Preferred Qualifications

  • Previous experience in working in nonprofit sector
